Description

FlockKeeper keeps membership, attendance and giving records for a small church or congregation — entirely offline, on your own PC. It replaces a spreadsheet (or a stack of them) with a proper household and member directory, fast attendance check-in, single and batch giving entry, year-end tax giving statements, visitor follow-up, ministry rosters, pledge campaigns, and a dashboard that flags what a volunteer secretary or pastor would otherwise have to remember by hand.

There is no account, no cloud, no server and no internet connection anywhere in this app — and no monthly fee, unlike the $30-80/month cloud church-management subscriptions built for much larger churches. Every record lives in one file on your own PC — or, if you choose, inside a folder your own OneDrive or Google Drive desktop app already syncs, so a second volunteer on a second computer can use the same records. FlockKeeper never talks to Google's or Microsoft's cloud APIs itself — it just reads and writes ordinary files, and whichever sync client you already have does the rest.

A DIRECTORY THAT ACTUALLY WORKS LIKE A CONGREGATION

• Households group related people, so giving is tracked per household and attendance per person
• Membership status per person — visitor, regular attender, member, inactive
• Custom fields: allergies, ministry interests, skills, emergency contacts
• Full-text search across every household and member
• Import a spreadsheet export with a column-mapping step that tolerates messy, inconsistent headers

FAST ATTENDANCE, NO FUMBLING

• Pick a service or event, then a fast, searchable checklist to mark who's here
• "Mark everyone from last time again" for a stable weekly congregation
• Full attendance history per person, and an automatic pastoral-care flag for anyone who's missed several services in a row

GIVING, THE WAY A REAL OFFERING COUNT WORKS

• Single-entry giving with fund and payment method (cash, check, other — nothing is processed, only logged)
• A fast batch/offering-count mode: a running list of amount + household in envelope order
• Deposit reconciliation — total logged vs. actual deposit, so counting errors surface immediately instead of compounding over a year

YEAR-END GIVING STATEMENTS, DONE RIGHT

• One click for a single household or every household at once
• Itemized by fund with the standard non-cash-benefit acknowledgment language
• Always previewed on-screen before saving or printing, so nothing goes out unreviewed

PLEDGE CAMPAIGNS WITH REAL NUMBERS

• Set an annual goal, track pledged vs. actual giving per household
• Automatic "% fulfilled" for every household, computed from actual giving — not typed in by hand

VISITORS DON'T FALL THROUGH THE CRACKS

• A simple pipeline: Visited → Contacted → Joined/Inactive
• An overdue flag on the dashboard when nobody's followed up in your chosen window
• Nothing sent automatically — every follow-up is a person doing the reaching out

MINISTRIES, LETTERS, AND A PRINTABLE DIRECTORY

• Ministry and small-group rosters with a role per member
• Mail-merge letter templates — welcome, pastoral, pledge-reminder — exported as ready-to-print or ready-to-attach PDFs
• A formatted, printable church directory booklet, with or without photos
• Multi-campus / multi-service tagging, with every report filterable by campus

A DASHBOARD THAT DOES THE REMEMBERING

• Birthdays, membership anniversaries and baptism anniversaries coming up this week
• Members who haven't attended in three or more weeks
• Overdue visitor follow-ups
• This month's giving vs. the same month last year

SAFE ON A SHARED, SYNCED FOLDER

Point your data folder at a OneDrive or Google Drive synced folder for real multi-device access, and FlockKeeper protects it automatically: a lock file so two devices never silently overwrite each other, a staleness check that warns you if the file changed elsewhere since you last closed cleanly, and rolling backups kept before every save.

A SOFT PIN FOR SHARED COMPUTERS

Optionally require a short local PIN to switch between a Treasurer view (financial screens) and a Secretary view (directory and attendance) on a shared office computer. This is a convenience for a shared machine, not encryption and not real security, and the app says so plainly in its own guide.

COMPLETELY OFFLINE

FlockKeeper makes no network connections of any kind. There is no account, no subscription, no analytics, no telemetry and no advertising. Everything you enter stays on your own PC, or in a cloud-sync folder you chose yourself.

BUILT-IN GUIDE

Press the ? button in the top-right for a complete guide covering every screen, every calculation, and exactly where to find everything.

ONE-TIME PURCHASE

Buy it once and it's yours. No monthly fee, no per-seat pricing, no renewal. A one-day free trial lets you set up your directory and try every feature before you decide.
