Description
It is one operating system for the whole venue, not a collection of separate tools. The rota feeds the wage cost. The supplier deliveries feed the stock cost. The prep list feeds the kitchen. The result is a number that tells you whether the week made money.
THE ROTA — one week, one screen
Click a cell, add a shift, drag it to another day or another person. Copy last week in one click and adjust from there. Shifts are coloured by time of day, so a thin Tuesday morning or a stacked Saturday night is visible at a glance.
While you build, three numbers move with you: hours, wage cost and labour percentage — per day and for the whole week, against the target you set. Cross the target and the bar turns red before you publish. That is the difference between fixing the schedule on Monday and explaining the payroll on Friday.
The app refuses two shifts on the same person at the same hours and names the clash. Hover a shift to duplicate it to the next day or delete it; clear a whole day in one action. When the week is right, publish it. Edit later and the app warns you and offers to republish — so the team never works from an old copy. The staff copy shows days and times only, never pay rates.
PROFIT & LOSS — built from the rota, not re-typed
Type the day’s takings. Wages arrive automatically from the rostered shifts and each person’s hourly rate. Stock cost arrives from the deliveries you book against your suppliers. You only type what nothing else can know: rent, utilities, marketing, repairs, insurance. Recurring costs are entered once and remembered.
From that you get income, costs, profit and margin by week, month or year, with this period set against the last so you see the direction, not just the total. A combined chart puts income and cost side by side with the profit line crossing zero exactly where the week turned. Click any day to see takings, every shift with its cost, and every delivery — so you know whether a bad week came from labour or food.
SUPPLIER BUDGET THAT CONTROLS SPENDING
Set food spend as a percentage of forecast sales and split it across your suppliers. Each gets a limit and a progress bar. Book a delivery in seconds and it lands in the right day, week and trading period — and the same number flows into your profit and loss.
PREP AND ORDERING
Count what is in the kitchen and the app calculates what to prep and what to order for the next one, two or three days — from your own sales figures, not a guess. Shortages are colour-coded so you see what will run out before service does.
KITCHEN TV SCREEN
Put a monitor in the kitchen: the prep list stays live all day and updates as stock is counted. Send a line from your phone — 86 the salmon, delivery at four, party of twelve — and it appears there instantly. Chefs join by scanning a QR code; they never create accounts.
TEAM, HOLIDAYS AND THE REST
Staff records with front-of-house and back-of-house job titles, rates, contracts and start dates. Holidays split into paid, unpaid, sick and parental, with the holiday year running from 1 January or from each person’s work anniversary. Approved leave shows up on the rota so you do not accidentally roster someone away.
